What is pharmacy billing software? A plain guide for medical store owners
Pharmacy billing software is a program that creates bills for medicines while keeping track of the batch, expiry, price and tax of every strip you sell. That last part is what separates it from a general billing app.
Why a general billing app is not enough
A grocery billing app knows a product and its price. A pharmacy needs more: the same medicine sits in several batches, each with its own expiry date, MRP and purchase cost. Some medicines need a prescription. Every bill has GST that depends on the medicine's rate.
If the software ignores batches, your stock can look fine on screen while expired strips sit on the shelf. If it ignores tax rules, your GST figures won't match your purchase bills.
What good pharmacy billing software does
At minimum, it should:
- Search medicines by brand name, generic name or barcode
- Pick a batch automatically — ideally the one expiring first (FEFO)
- Block expired batches and quantities beyond available stock
- Calculate CGST and SGST per line, including tax-inclusive MRP
- Record payment mode: cash, UPI, card or credit
- Print an invoice with batch, expiry, HSN and your GSTIN
- Handle returns against the original bill
What happens after the bill
Each bill should reduce stock of the exact batch sold and add to your sales and GST reports. That way the owner can see today's sales, stock value and dues without counting anything by hand.
Questions to ask before choosing
Does it sell the earliest-expiring stock first? Can staff be limited to billing only? Can you print on your existing thermal printer? Can you export data if you ever leave? Clear answers to these matter more than a long feature list.
